Pertemps are recruiting on behalf of our client, a well-known Public Sector organisation, for an experienced Facilities / Buildings Coordinator to start temporary 6-month contract from April 2023 (with possible extension). This is a full-time position offering 37hrs per week, working Monday to Friday.

The main purpose of the role is to support buildings managers with the various projects and small works that take place on site.

Working in a busy team you will be required to:

– Deputise for managers to provide additional support/assistance when required
– Create small minor work task orders on finance spreadsheet and on CEMAR
– Ensuring any cost centre codes in financial spreadsheet are allocated correctly for application for payment
– Daily and weekly updates to MS of small works and MS budget projects
– Access Mosaic – monitor reactive calls
– Access Mosaic – provide stats detailing reactive tasks and audit a sample on a biweekly basis – report to Manager
– Assist Manager with the co-ordination small works
– Assist with Fire evacuations and other H&S site issues
– Support FPO for site fire safety management
– Contractor liaison with Mitie and Mitie sub-contractors
– Organising and minute taking for quarterly Facilities and MSS meetings
– Creating & issuing security passes in line with OPS policy, checking appropriate permissions are in place each day
– Various team support where needed eg. occasional cover for reception when Mitie Security are not able to provide cover due to short notice – sick leave

To be considered for this role, you must have the following:

– Previous facilities or project management experience
– Excellent administrative/clerical skills
– Excellent working knowledge of MS Office
– Be able to make use of the bespoke in house systems
– Good interpersonal skills
– Excellent organisational skills
– Ability to follow security protocols
